RULES OF ENTRY AND INFORMATION and CLOSING DATE FOR ENTRIES
Handcraft Exhibition closing date 5.00 pm Tuesday 21st August 2012. No entries will be taken after the closing date. No entries will be taken on the day. Early applications are appreciated.
CHILDREN’S AGE CATEGORIES
Young people may enter within their own age group classes or those of an older age group. Young people may also enter adult categories.
STAGING OF EXHIBITS
Upon arrival at the Marquee, please report to the Steward who will issue instructions, staging card and Exhibitor’s Number Card. Non-perishable exhibits may be staged between 4.00 pm and 7.30 pm on Friday 24th August 2012. If this is not possible, stage as if perishable.
Horticulture section and perishable exhibits are to be staged between 8.30 am and 9.30 am on Saturday 25th August 2012. Late Exhibits will not be accepted. An expert will be on hand to help you ‘stage’ your exhibits and answer your gardening questions. Photographs and Art – The display space for exhibits is flat. Exhibitors may use supports/rests to display their exhibits.
GATE PASSES
All entrants will be issued with gate passes, however passes are needed only:
FOR ENTRY TO SHOWGROUND
Friday – No pass required – admission given to any vehicle at any time.
Saturday – Vehicles allowed in to stage exhibits with gate pass up to 9.15 am. However, vehicles must be moved to public car park before 9.45 am.
Sunday – Handcraft entrants with gate pass will be allowed access AFTER 5.00 PM
JUDGING
Judging will commence at 9.45 am Saturday 25th August. The marquee will be closed to the public while judging is taking place. Please be aware that judging takes several hours. The Judge’s decision is final and no correspondence will be entered into.
The Exhibitor’s name should not be visible on any piece of work. Exhibitors will be required to obscure their names on exhibits such as paintings/drawings (e.g. using masking tape)
• Winning exhibits from previous years may not be entered
• Articles entered into the wrong class will not be judged.
• Great Aycliffe Town Council reserves the right to cancel any class or classes.
• In the event of few entries to a class or classes Great Aycliffe Town Council reserves the right to award prizes only according to merit and at the Judge’s discretion.
RETRIEVAL OF EXHIBITS
The reverse of Exhibitor’s Number Card will show the earliest collection time for the retrieval of your exhibits on Sunday; please note it is a condition of entry that exhibits may not be retrieved before this time and there will be no exceptions.
Vehicles are not allowed on site under any circumstances before 5.00 pm. If you need your vehicle to carry your exhibits, you may collect your exhibits and leave them with a steward within the marquee and return for them later (before 6.00 pm)
Exhibitors must produce their Exhibitor’s Number card before leaving the Marquee with any exhibit. Perishable exhibits not removed by 6.00 pm on Sunday 26th August 2012 will be disposed of by Great Aycliffe Town Council. Other exhibits will be disposed of after one month, but will be stored at the Council Offices, School Aycliffe Lane prior to this.
SECURITY OF EXHIBITS
A professional security service patrols the marquee and Show Site and whilst every care will be taken to safeguard exhibits, Great Aycliffe Town Council will not be responsible for damage or loss of any exhibit.
PRESENTATION OF TROPHIES
The Trophy Presentation will be held on the afternoon of Sunday 26th August 2012. If you have won the Trophy for your section, please let the Steward know if you will be able to attend the presentation. The Steward will tell you the time and location of the presentation.
CERTIFICATES AND PRIZE MONEY
All prize money and certificates may be collected from Central Control and will be paid out on Sunday between 2.00 pm and 5.00 pm on production of your EXHIBITOR’S NUMBER CARD.
